Summary Form templates built in PaT can be used as distributable forms, to rapidly gather data from customers and staff for analysis or dashboards. A new template is visible only to the person who created it, which is good for testing. To make it live for everyone in your tenancy, copy the form's share link from the SD Form Builder, paste it into the form link field in SD Settings, click Update, and tick the Global box. The form then appears on the Form Wall, opened from Global Search, and it can also be started from the PaT menu under Complete a Form or a Survey.

Steps

Step 1

When you're happy with your form's design, open its SD form template. Once it is live, all users in your tenancy can quickly find it when they need it.

Step 2

Click Advanced, in the row of grey buttons below the purple ones, just to the right of SD Settings. A page opens with a menu on the left.

Step 3

In the menu, click SD Form Builder. The form opens in the form builder.

Step 4

Click Share, the blue button at the top left of the builder, to the right of Preview. The Share window opens.

Step 5

Click Copy Link at the bottom of the window. The form's link is copied.

Step 6

Click Back to SD, the purple button at the top of the menu on the left, to return to the SD.

Making the form live

Step 7

Click SD Settings, the first of the grey buttons. The SD Settings panel opens on the left of the screen.

Step 8

Paste the link into the field Insert Form Link here to display in Form Wall, under SD Owner.

Step 9

Click Update at the bottom of the panel.

Step 10

Make sure the right boxes are ticked, in the dark grey bar at the bottom left of the SD: - Template: ticked, because the SD is used as a template, so it can be reused for a consistent setup. Templates are only visible to the person who created them, which is good for testing. - Global: tick this box to make the template live and available to all members in your tenancy. Until you do, others won't be able to see or use it. - Workflow: tick this box when the template needs the advanced form workflow function, for example for a ticketing system that triggers automated processes.

Finding the form on the Form Wall

Step 11

Click Global Search, the purple button at the top right of the screen. The Global Search panel opens on the right.

Step 12

Click Form Wall at the bottom of the panel. The Form Wall opens.

Step 13

On the left-hand side, under Forms, are the forms that have been shared within the tenancy this way, grouped by department.

Step 14

Swipe left on the form you want, then choose an option. EDIT opens a panel where you can edit the category settings or the form description, and VIEW opens the SD template. Only administrators and template owners can edit the SD form in advanced settings.

Starting a form from the PaT menu

Step 15

You can also start an SD form from the PaT menu: click the round + at the bottom of the screen. A set of round buttons opens above it.

Step 16

Click Complete a Form or a Survey, the purple button with a pen, at the right of the set. The Complete a form window opens, listing the live forms by department.

Step 17

To open the SD Form template, click the round + on the form's entry.

Step 18

The form opens in a new tab at the top of the screen, ready to fill in.
