Summary The PaT Business Unit Template sets up a Business Unit (BU) Master: an SD that will ultimately hold everything anyone needs to know about one department or business unit. You add it to an SD as an embedded SD based on the template. The template comes with two preconfigured tasks and six preconfigured, embedded SDs (Reports, Projects, Templates, Audits, Working SD and Training). The tasks guide the set-up: if the BU is not a department, delete the two SDs it doesn't need; then rename the embedded SDs for your department or BU. Finally, you tidy away the completed tasks.
Steps
Step 1
Open the SD the BU Master will sit in. In the row of purple buttons above the SD's section headers, click and hold the SD element: the fifth button, a strategy icon of crosses, a circle and an arrow. Drag it onto the SD and drop it on the Business Units section header.
Step 2
The Name your new Strategy Document panel slides in on the right. In the box at the top, type the BU Master's name, for example "Marketing Dept. Master". This SD will ultimately contain everything anyone will ever need to know about that department in the organisation.
Step 3
Click the drop-down below the name, which shows No Template, and choose PaT Business Unit Template. The new embedded SD will be based on this template.
Step 4
Click Submit, to the left of Cancel.
Step 5
Two things happen. First, the new SD appears on its own row beneath the Business Units section header: PaT always places a dropped SD element below the element you drop it on. Second, a list of teal coloured messages appears towards the bottom left of the SD, such as Duplicated AP and Duplicated sub SD template. They tell you that the embedded SDs and embedded tasks inside the template have been generated as part of the new SD.
Step 6
To open the new SD, click the strategy icon on its row, just to the left of the paperclip. The new SD opens. The template has given it two preconfigured, embedded tasks and six preconfigured, embedded SDs.
Working through the template's tasks
Step 7
Read the first task: "If this is for a Business Unit not a Department then delete the Templates and Training Master SDs." Only Dept. level BU Masters need these two SDs. Dept. level BUs are the highest ranking BUs in a BU hierarchy, and they are ultimately responsible for all of the SD templates and training needed throughout their BU hierarchy. For example, if a Dept. BU called the Finance Dept. had two subordinate BUs called Accounts Payable and Payroll, the training for Accounts Payable and Payroll would sit in the Finance Dept. Training Master.
Step 8
If the BU Master is for a Dept. level BU, keep all six SDs. If it is not, delete the Templates Master and Training Master SDs. Then complete the task: click the grey tick in a circle at the far right of its row. The task turns green and "Task was closed" shows at the bottom left of the screen.
Step 9
The second task asks you to rename the embedded SDs with the actual Dept. or BU name, for example "Sales Report Master".
Step 10
On the first embedded SD's row, click the edit icon, a pen on a square, to the right of the chat bubble.
Step 11
The Edit SD panel slides in on the right. Its Task Description box holds the SD's name, which starts with "[Insert actual Dept or BU name (remove square brackets)]". Replace the square brackets and everything between them with the name of the Dept. or BU.
Step 12
For example, "[Insert actual Dept or BU name (remove square brackets)] Reports Master" becomes "Marketing Reports Master". When you have finished, click Save at the bottom left of the panel.
Step 13
The SD's row now shows its new name. Repeat Steps 10 to 12 for each of the other embedded SDs.
Step 14
When all the SDs are named correctly, complete the second task with the grey tick in a circle at the far right of its row.
Tidying up
Step 15
Tidy up the SD by removing the two completed tasks. There are two ways to do this: swipe right on a task to delete it, or archive it instead. Archiving keeps a record of when elements were removed from the SD, while deleting removes them permanently, with no trace.
Result. The finished BU Master holds just its six embedded SDs, each named for the department, for example Marketing Reports Master, Marketing Projects Master, Marketing Templates Master, Marketing Audits Master, Marketing Working SD and Marketing Training Master.
