Summary PaT's Contextual Filing lets you attach files right where they belong in an SD. You can embed a file in a note, attach one to any SD element such as a Section Header, embed one in a chat message, or attach one to a chat thread. SD Files, in the PaT Header, lists every file attached across the SD's elements, and holds files that belong to the SD as a whole.
Steps
Introduction. Contextual Filing lets you attach files directly to the relevant part of your work, which makes projects, meeting minutes and workflows easier to manage. There's no more digging through folders or chasing access: every file is right where it should be.
Embedding a file in a note
Step 1
Find the row of purple buttons above the SD's section headers. Click and hold the Note icon (a pencil), the second from the left, drag it to the bottom of the SD and let go. A new row appears at the bottom of the SD.
Step 2
The New Note panel opens on the right of the screen. To upload a file, drag it onto the Drag and drop to Upload your files here, or box under the text box, or click Browse in that box to choose a file from your computer.
Step 3
Once uploaded, the file is embedded directly in your note. A video appears in a built-in viewer for easy playback, and an image displays inline. Documents such as PDFs, spreadsheets and Word files appear as clickable links. You can also add text above or below the file to refer to it.
Step 4
Click Save at the bottom left of the panel.
Attaching files to SD elements and chats
Step 5
You can attach a file to any SD element, such as a Section Header: click the paperclip icon at the right end of the element's row.
Step 6
To add a file to a chat message about a Section Header, click the chat icon (a speech bubble) at the right end of its row, just right of the paperclip. The chat editor opens, with the Section Header's chat thread on the right.
Step 7
Upload the file the same way as in a note: drag it onto the Drop your file(s) here or click to add one! bar under the message box, or click the bar to browse.
Step 8
The file now appears embedded in the message. This is handy when discussing a file: it is right there in the chat, so nobody has to look elsewhere.
Step 9
Choose who receives your comment: tick the box beside each person's name at the top of the chat editor. Then click send comment at the bottom right.
Step 10
Alternatively, attach the file to the chat thread itself instead of embedding it in one message: use the Attachments tab at the top right of the thread, beside Chat. This keeps messages uncluttered, much like referring to "attached files" in an email. When you embed an image in a chat message, PaT also stores a copy under Attachments, so in a long chat thread you can always find the file there, even when you can't remember which message holds it.
Every file in one place: SD Files
Step 11
To see every file in the SD, click SD Files in the PaT Header: the row of grey buttons under the search box, between Gantt and SD Chat. SD Files has two main purposes: - It gathers the files attached across the SD's elements into one easy-to-reference list. - It is the place to attach a file that relates to the SD but doesn't belong in a specific element, note or chat.
