Summary A campaign sets up the PaT Lite training portal, a cut-down version of PaT's learning modules for people such as temporary staff. In System Administration, under Company Structure, you add a campaign with a description, a login code, an expiry date, a department, a role (which decides the modules), a supervisor who hears about failed tests, a branch and an optional welcome video. You then send people the registration link and code, and you can message users or convert them to full PaT users later.
Steps
Introduction. PaT Lite is a streamlined version of the learning management system modules in PaT, designed for various training needs: - Temporary Staff: offers essential training tailored for temporary employees, so they receive only the necessary information without the comprehensive training designed for full-time staff. - New Customers: introduces PaT to new clients, covering essentials such as meeting minutes, raising tickets, access rates and service agreements. - Potential Customers: offers a quick overview of PaT's fundamentals to prospective clients, before granting full access to the system. - Customer Suppliers: trains suppliers on the required standards of work, so they meet customer expectations. This simplified platform enables targeted and efficient onboarding and training.
Step 1
Go to your tile view: click the toggle switch in the row of icons at the top right of the screen, between the gauge and the headset. The tile view opens, with your tiles at the top and a list of sections below them.
Step 2
Click System Administration, the last section in the list, to expand it. Its tiles appear below it.
Step 3
Click the Company Structure tile, the first of them, to expand it. A panel opens below the tiles, with a row of tabs across its top.
Step 4
Click add new user, the fourth tab in that row.
Step 5
In the row below the tabs, click Pat Lite Training Portal, the third option, after employees only and customers, suppliers and guests.
Step 6
On the left of the panel is a list of all current PaT Lite training portal campaigns, each with its code under its name. To open an existing campaign, click the arrow at the right of its name. To the right of the list is the campaign form, empty and ready for a new campaign.
Filling in the campaign
Step 7
In Description, at the top of the form, enter a description. It can be anything your company needs to identify the campaign, for example the name of the business and the team it is for.
Step 8
In Code, under Description, come up with a code. This is the code the user will need when logging in, like a password.
Step 9
Tick the box beside Active, under Code, to activate the campaign.
Step 10
In Expiry Date, set an expiry date for the registration code, which decides how long it will remain active. Make sure the date is in the future. For example, if you're running a one-off campaign with users hired only for the next six months, you can set the expiry to six months from now.
Step 11
In Department, at the top of the next column, select the department you want to assign the campaign to. When you click the drop-down list, all the departments within your tenancy appear. The users of this campaign's training portal will be managed by that department.
Step 12
In Role, choose the users' role. The training modules attached to that role are the ones the users will need to complete when logged in to the PaT Lite training portal.
Step 13
In Supervisor, choose the supervisor. Note: this person will receive notifications if the student fails a test and needs help.
Step 14
In Location/Branch, choose the location or branch that looks after the campaign.
Step 15
In URL for main panel content, at the top of the next column, you can enter a link. It will be the main panel content when the user logs in, and a preview of it shows below the box. This is a great place to add content such as a company welcome video, a demo on how to use the system, or any content you want to introduce users to as they start learning about your company.
Step 16
The next column lists all of the modules connected to the role you selected in Role.
The campaign's users
Step 17
The last column lists all the users who have logged in to the portal under this campaign, each with a Message button and a Convert button on the right.
Step 18
To send someone a message, click Message, beside their name.
Step 19
If any of these users were to become permanent PaT users, click Convert, under Message. Their login details and personal information are transferred into the main tenancy as an actual user, saving you the time and effort of setting them up from scratch.
Saving and sending the invitation
Step 20
Once you have completed all of that, click Save, the first button under Expiry Date, to save your campaign.
Step 21
Finally, copy the registration link: click the button under Location/Branch (it reads Click to copy Registraion URL). Paste the link into an email, and include instructions for the student on how to log in. They will need to use their email address and the code you set in this campaign.
Step 22
A good email to someone you want to use the training portal explains why they need the training, gives them the link to the portal, and lists what they'll need to do: enter a valid email address, give their first and last name, and use the campaign's access code. It can also link to a short video on how the training portal works.
